Associate Members

All the regular groups or sessions held at the community centre for the benefit of local residents are run by Trustees or Associate Members of Humphrey Park Community Association. If you are not already a Trustee of the charity, you will automatically become an Associate Member.
  • Membership fees are determined by your use of the community centre facilities - you will be provided with access to your "Membership Fee Account" via a Google Spreadsheet.
  • You will be issued with a set of keys for the shutter and main door so you can gain access to the centre.

How to view your Membership Fees Account:
  • In the first instance: Please provide us with the email address you use to log in to your Google account - this will enable us to set up your membership fees account.
Once your centre account is set up, you can view it in one of two ways:
  1. Log in to Google Drive then click on the "Shared with me" folder where you should find the document (unless you have moved it to another folder).
  2. Use the personal link previously sent to you, then log in if requested to do so.
Please allow a little time for the document to open fully and display the correct figures.


I'm having trouble accessing my centre account; what can I do?

  • Your centre account is in the form of a Google Spreadsheet which can be viewed online via Google DriveIf you don't have a Google account, you will need to sign up for one.
    •  You can do this using your existing email address if you don't want to create a gmail account.
  • Your centre account spreadsheet is shared with the email address you provided on your booking form, or the address you use to contact us. If this is not the same email address you use to log in to Google, you won't be able to view the spreadsheet. Let us know if this applies to you so we can make the necessary changes. 
  • If you have not used Google Drive before, you may have to click on "Start using Google Drive" after registering or logging in for the first time.
  • Whichever browser you use, make sure you have the most up to date version that will run on your device. 
  • Try using Chrome. Because it's made by Google, it will be fully compatible with Google products. Download it here.
  • When you access your centre account, don't forget to wait a while. It pulls information from a central place and can take a little while to display everything properly.
  • Access problems could just be an internet glitch. Try waiting a while, or until the next day, before trying again.
If you continue to have problems, please get in touch - We may need to meet to resolve the issue, but it is usually caused by something very simple.

How often will you update my centre account?
  • Payments: Cheque, cash and direct payments to our bank account will usually be added on a weekly basis.
  • Room Hours: These will be added weekly, but will only become active on your account on a monthly basis, usually at the end of the last week which commenced during that month. We'll send you a monthly email as new fees become active. 
    • Active fees are shown in black text. These will affect the balance of your account.
    • Inactive fees are shown in pale grey text. These will not affect the balance of your account until they become active.
 

How do I make changes to my regular booking?

If you need to make any changes to your regular booking, you can do this at any time:
  • Use the Room Calendars to check availability and find a suitable available slot.
  • Send us a message to let us know your requirements so we can amend the calendars accordingly. 
If you are taking a break during school holidays, please provide details of your cancellations with as much notice as possible so that rooms can be available for others to use. 
  • If you give at least 2 weeks notice of cancellations, we won't charge you for these sessions. However, as much notice as possible would obviously be preferable.
  • If you prefer, we can base your school holidays on the terms dates of our nearest primary school, Highfield.


Are my details secure?

Your centre account is in the form of a Google Spreadsheet. This is a private document which only we can edit and only you can view when you are logged in to your Google account. 

Our Google account is protected by Google's "2-step verification" which involves entering the usual username and password, along with a unique code which is sent to a specific mobile phone each time we log in. Without knowing the username and password, and having access to the specified mobile phone, access to the account cannot be gained.

When you access your account, there are steps you can take to protect your security. These principles apply to any account you may access online.
  • If you are using a shared device to view your account:
    • Make sure that any "remember password" boxes are unticked when you log in. 
    • Ensure you log out of your Google account and close the browser window when you have finished.
  • Choose a strong password which would be difficult for someone to guess. Generally, a strong password would be 8 characters or more in length and contain a mixture of lower and uppercase letters, numbers, symbols and punctuation.
  • We recommend the use of Google's two step verification. You can read about it here.
  • Many people like to leave accounts logged in on their own personal devices. We think you should consider not doing this routinely. If you do, however, make sure that your device is password protected.


How do I get a copy of my account for my records?

You can produce a copy of your account at any time, but we would advise that you should only need to do this at the end of each financial year. 

Here's what to do:

To download a PDF:
  • Log in to your Google account and open the document.
  • Click on the "File" menu. 
  • Go to "Download as" and select "PDF document (.pdf)".
  • In the box that appears (like the example to the right), select the following:
    • Options: No gridlines
    • Paper Size: A4
    • Layout: Fit to width & Portrait
  • Click OK
  • Depending on your browser, you may be asked to choose a location to save the file. Otherwise, it will be saved to the default location specified in your browser options.
  • You can now view or print the PDF document as you would any other document.

To print your account:

You can print your account directly from Google Drive if you wish. However, we find that you get better results from printing a downloaded pdf. 

Follow the instructions above "To download a PDF" and then print it using the page scaling option in your printer settings to make sure your document remains on one page.
